How to create a sales invoice

Create a sales invoice from Numonis, add customer, lines, taxes, and confirm issuance.

Create invoice form in Numonis

The invoice form brings together customer, dates, lines, taxes, notes, and preview.

Creating invoices from Numonis lets sales information enter your accounting workflow directly.

Before creating the invoice

Check that invoicing settings are complete and that you have the customer's tax details.

If this is the first time you open Sales Invoices, complete the initial setup first. Numonis may ask for business details, certification, and registration before showing the invoice form.

How to get there

  1. Open Sales Invoices and enter the Invoices tab.
  2. Press New Document.
  3. Choose the document type.

How to create the invoice

  1. Select an existing customer or press to create a new one.
  2. Review the invoice date, due date, Payment method, currency, and language. The method can be Unspecified, Bank transfer, Cash, Direct debit, or Payment by card.
  3. Add lines with description, quantity, price, and the correct tax treatment. Hover a line and drag its handle to change the order. With the handle focused, the arrow keys move that line. On a phone, open the line menu and move the line up or down. The order is kept on the draft, in the preview, and on the PDF.
  4. Apply discount or withholding only if appropriate.
  5. Add notes or terms if you want them to appear on the invoice. When the document language is English, this field and each line name are the English versions. Spanish text is used when the English version is empty.
  6. Press Preview PDF to review exactly what the final PDF will look like.
  7. Press Save Draft if you do not want to issue it yet.
  8. Press Preview & Issue only when the invoice is ready. On a quote or proforma the button is Preview & Finalize. Once issued, the invoice cannot be edited like a draft.

Saving an invoice with Direct debit requires Numonis to enable direct debit for your organization. Confirming is retained only when editing a document that already uses it; it cannot be selected for a new invoice.

For an outlay (suplido)—an amount paid in the customer's name and on their behalf—choose Outside scope (Outlays). Numonis shows that amount as Not subject to VAT (outlays) below the totals, outside the taxable base and the IRPF withholding base, and reports it as VeriFactu N1. Do not choose Third-party professional fee collections (regime 10) unless your accountant confirms that your organization is collecting professional fees or rights on behalf of members.

Discounts can be a percentage (0–100%) or a fixed amount in the invoice currency. Enable a line discount under its advanced options, or an invoice discount below the lines. When you switch type, the numeric value is kept and capped at the new limit. Fixed discounts cannot exceed their base. Line discounts apply first, then the invoice discount; VAT and IRPF use the reduced base. For example, €1,000 with a €50 line discount and a €100 invoice discount gives a base of €850, VAT of €178.50 at 21%, and a total of €1,028.50. With 15% IRPF, the withholding is €127.50 and the payable total is €901.

Recurring invoice

On the same form you can turn on Make this invoice recurring and press Save schedule. The Recurring tab shows the status, the next date, and the pause or stop actions. The steps are in Recurring invoices.

What to review before issuing

  • Customer legal name and NIF/CIF.
  • Tax address if applicable.
  • Invoice number.
  • Tax treatment, taxable base, VAT, and total amount.
  • Clear description of the service or product.

When VeriFactu certification is active, Numonis also blocks issuing until these checks pass:

  • The customer has a valid NIF/CIF, or an individual customer has an identity document (full invoices and corrective invoices only).
  • Your business NIF/CIF has a valid control digit.
  • The issue date is not in the future and not before 28 October 2024.
  • Notes and the standard invoice text are 500 characters or fewer each.

After issuing

The invoice is registered. From the detail page you can download it, send it by email, mark it as paid or unpaid, or create a corrective invoice if needed.
